Role Summary

The Compliance Specialist will be responsible for ensuring that Refroid Technologies complies with applicable labour laws, statutory requirements, regulatory obligations, company policies, and internal compliance processes. 


The role will involve regular coordination with HR, Finance, Administration, Operations, Plant, Legal, and external consultants/agencies to ensure timely filings, documentation, renewals, audits, and closure of compliance-related requirements. 

Key Responsibilities

1. Statutory & Labour Compliance 

  • Ensure compliance with applicable labour and employment laws. 

  • Manage and track statutory requirements related to PF, ESI, PT, LWF, Gratuity, Bonus, Minimum Wages, Shops & Establishments, and other applicable labour regulations. 

  • Monitor statutory due dates, filings, payments, renewals, and submissions. 

  • Maintain updated compliance calendars and trackers. 

  • Coordinate with external consultants and government authorities whenever required. 

  • Ensure compliance requirements are implemented across corporate and plant locations. 


2. Compliance Documentation & Records

  • Maintain accurate statutory registers, records, licenses, certificates, returns, challans, and other compliance documentation. 

  • Ensure proper documentation and record retention for audits and inspections. 

  • Develop and maintain compliance checklists and SOPs. 

  • Identify gaps in documentation and ensure timely closure. 


3. Audits & Inspections

  • Coordinate internal and external statutory audits. 

  • Support labour department, PF, ESI, factory, and other regulatory inspections, as applicable. 

  • Prepare required documents and records for inspections and audits. 

  • Track audit observations and ensure corrective actions are implemented within timelines. 


4. Policy & Process Compliance

  • Support development and implementation of company policies and compliance procedures. 

  • Review HR and operational processes from a compliance perspective. 

  • Identify potential compliance risks and escalate them to the appropriate stakeholders. 

  • Assist in creating compliance dashboards and management reports. 


5. Licenses & Regulatory Renewals 

  • Maintain a tracker for statutory licenses, registrations, certificates, and renewals. 

  • Ensure timely renewal of applicable licenses and registrations. 

  • Coordinate with relevant departments and external agencies for regulatory submissions. 


6. Employee Compliance

  • Ensure proper documentation relating to employee onboarding, employment records, statutory benefits, and exits. 

  • Support compliance related to working hours, attendance, overtime, leave, wages, and employee benefits. 

  • Coordinate with payroll and HR teams to ensure statutory deductions and contributions are processed correctly. 


7. Plant & Operational Compliance 

  • Coordinate with plant and administration teams to monitor location-specific statutory requirements. 

  • Support compliance requirements relating to manufacturing operations, contractor labour, working conditions, and applicable statutory registrations. 

  • Monitor contractor compliance and ensure required documentation is maintained. 



8. Reporting & Risk Management 

  • Prepare periodic compliance reports for management. 

  • Maintain a centralized compliance tracker with responsibility, due date, status, supporting documents, and closure details. 

  • Identify compliance risks and recommend corrective/preventive actions. 

  • Ensure timely escalation of critical compliance issues. 

Required Skills

  1. Strong knowledge of Indian Labour Laws and Statutory Compliance. 

  2. Practical experience with PF, ESI, PT, LWF, Gratuity, Bonus, Minimum Wages, and Shops & Establishments compliance. 

  3. Understanding of HR compliance and payroll-related statutory requirements. 

  4. Strong documentation and record-management skills.

  5. Good knowledge of MS Excel and compliance trackers. 

  6. Ability to coordinate with government authorities, consultants, auditors, and internal stakeholders. 

  7. Strong follow-up and deadline-management skills. 

  8. Good communication and interpersonal skills. 

  9. Strong attention to detail and ability to identify compliance gaps.

  1. 100% timely completion of statutory filings and payments. 

  2. Zero missed statutory deadlines. 

  3. Accurate and updated compliance documentation. 

  4. Timely closure of audit/inspection observations. 

  5. Compliance tracker accuracy and timely reporting. 

  6. Reduction of compliance gaps and risks. 

  7. Timely renewal of licenses and registrations. 

Preferred Experience

  1. Candidates with experience in manufacturing, engineering, HVAC, refrigeration, industrial, automotive, electronics, or product-based organizations will be preferred. 

  2. Experience handling plant-level statutory compliance and contractor labour compliance will be an added advantage. 

Educational Qualification

  1. Bachelor's degree in HR, Commerce, Law, Business Administration, or a related discipline. 

  2. LLB / PG in HR / Labour Law / Industrial Relations or relevant compliance certification will be an advantage.
